Purpose Statement

 

The Springfield, Missouri Public School District is currently seeking qualified applicants for the position of Library Clerical Assistant.

 

The Springfield School District is Missouri’s largest public school district and has built a reputation of academic excellence based on the outstanding performance of our students and schools. About 25,000 students attend 36 elementary schools, an intermediate school, 9 middle schools, 5 high schools and a variety of alternative education and choice programs.

 

The job of Administrative Secretary I was established for the purpose/s of providing support to the educational process and providing general clerical support, information and/or direction as may be assigned at assigned school site.

 

Essential Functions

  • Assists teachers, students and administrators (e.g. computer workstations, World Book, Gale Group database products, iPac, etc.) for the purpose of identifying resource materials for use in classroom and/or class assignments.
  • Maintains materials (e.g. library books, library hardware/software, media equipment and related instructional materials, etc.) for the purpose of ensuring the availability of materials in good condition when required.
  • Monitors student activities within the library for the purpose of maintaining a safe environment conducive to learning.
  • Performs circulation activities (e.g. item check-in and check-out, prepare circulation count, lists of overdue items, etc.) for the purpose of controlling the use, location and availability of items in the collection.
  • Processes library books, periodicals, software and related media materials (e.g. logging into master files; bar coding, shelving, weeding, producing required reports, etc.) for the purpose of providing students and staff with required materials.
  • Repairs books and materials for the purpose of ensuring the availability of books and library.
  • Responds to inquiries of students, staff and parents (e.g. availability of books, finding appropriate reference documents, status of overdue fines, etc.) for the purpose of providing information and/or direction as required.
  • Additional tasks as assigned. 

 

Job Requirements (Minimum Qualifications)

Knowledge is required to perform basic math, including calculations using fractions, percents and/or ratios; read a variety of manuals, write documents following prescribed formats and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations & laws related to student attendance; and business telephone etiquette.

 

Skills are required to perform multiple highly complex, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using job related software applications; and preparing and maintaining accurate records.

 

Ability is required to schedule activities, meetings and/or events; gather, collate and/or classify data; and use job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operates equipment using standardized methods.

Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is moderate. Employee Punctuality and Appearance

  • In order for schools to operate effectively, employees are expected to perform all assigned duties and work all schedules hours during each designated workday, unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Springfield School District and is appropriate for their position.

Terms of Employment

 

The terms of employment will be governed by applicable state laws regulating employment in a Missouri public school and Board of Education policy, as those laws and policies may change from time to time.  If your position is represented by a Collective Bargaining representative, then your employment will also be governed by a negotiated agreement between SPS and that Collective Bargaining representative.

Work Environment & Physical Requirements

 

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing and/or pulling, some climbing and balancing, frequent stooping, kneeling, crouching and/or crawling and significant fine finger dexterity. Generally, the job requires 40% sitting, 40% walking and 20% standing. This job is performed in a generally clean and healthy environment.
